Footlytic is the data controller for the personal information described below. This policy explains what we collect, why we collect it, and the rights you have under UK data protection law.

1. Information we collect

We collect only what we need to run a safe, well-organised academy:

  • Contact details of the booking adult: full name, email address and phone number.
  • Player details: first name, age or date of birth and the course booked.
  • Booking details: preferred start date, session history and any message you send us.
  • Health and safety information you choose to share, such as medical conditions, allergies or injuries, plus emergency contact details.
  • Payment records confirming that a course fee or deposit has been paid.
  • Basic technical data from our website, such as pages viewed and approximate location.

2. Junior player data and guardian consent

Where a player is under 18, their information must be provided by a parent or legal guardian, who gives consent on the player's behalf. We keep junior records to the minimum needed for coaching, safeguarding and emergency care, and we never use a child's data for marketing.

Filmed sessions and player-feedback footage are only recorded where the parent or guardian has given specific consent, are used solely for coaching feedback, and are deleted when the course ends unless you ask us to keep them. Consent can be withdrawn at any time by emailing us.

3. How we use your information

We use your information to:

  • respond to enquiries and confirm bookings;
  • plan groups, session content and coach allocation;
  • keep players safe and contact you in an emergency;
  • take payments and keep accounting records;
  • send occasional academy news and course updates, where you have opted in.

Marketing emails are optional and never a condition of booking. Every marketing message includes an unsubscribe link, and you can opt out at any time by replying or emailing info@footlyticfootball.co.uk. We do not sell or rent your data to anyone.

4. Legal basis for processing (UK GDPR)

  • Contract — to deliver the coaching course you have booked.
  • Legitimate interests — to run and improve the academy safely and to respond to enquiries.
  • Consent — for marketing emails, filming and any special category health information you share.
  • Legal obligation — for safeguarding duties and financial record keeping.
  • Vital interests — to act in a medical emergency during a session.

5. How long we keep your data

Enquiries that do not lead to a booking are deleted within 12 months. Player and booking records are kept for up to 3 years after a player's last session so we can handle returning families, insurance and safeguarding queries. Financial records are kept for 6 years to meet HMRC requirements. Marketing consents are kept until you withdraw them.

6. Third parties and payment processing

We use a small number of trusted service providers acting on our instructions: a website and form hosting provider, an email delivery provider, cloud storage and accounting software, and a regulated third-party payment processor that handles card payments. Card numbers are entered directly with the payment processor and are never stored by us.

Providers only receive the data they need, are bound by contract to protect it, and may not use it for their own purposes. Where data is processed outside the UK, appropriate safeguards such as the UK International Data Transfer Agreement are used. We may also disclose information where required by law or to protect a child from harm.

7. Your data rights

You have the right to access a copy of your data, to have inaccurate data corrected, to request erasure, to restrict or object to processing, to data portability, and to withdraw consent at any time. To exercise any right, email info@footlyticfootball.co.uk and we will respond within one month.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.

8. Cookies

Our website uses only essential cookies needed to load pages and keep the site secure. We do not use advertising cookies or cross-site tracking. Any optional analytics cookies are set only with your permission, and you can block or delete cookies in your browser settings at any time — essential cookies may be required for parts of the site to work.
